Cancellation Policy
We understand that sometimes unexpected events may prevent you from attending your scheduled appointment. However, because we reserve your appointment time exclusively for you, missed appointments can result in a disruption of our schedule and prevent other clients from receiving the care they need.
If you need to cancel or reschedule your appointment, we ask that you provide us with at least 48 hours’ notice.
For appointments scheduled on Tuesday to Friday: If you cancel or reschedule with less than 48 hours' notice, a cancellation fee of 50% of the consultation fee will be charged. If you cancel within 24 hours of your appointment time, or if you fail to attend your appointment without providing any notice, you will be charged a cancellation fee of 100% of the consultation fee. If the appointment is offsite, and a clinician has travelled to the appointment, the cost of travel will also be charged.
For appointments scheduled on a Monday, we require that you cancel by 5pm on the preceding Thursday. If you fail to do so, you will be charged a cancellation fee of 50% of the consultation fee. Any Monday appointment cancelled after 5pm on the preceding Friday will be charged 100% of the consult fee.

Electronic Record Keeping
Child in Mind Psychology will maintain individual client files electronically. Client files include a record of delivered supports and services and include all communication related to the client even if the client was not present (e.g. emails to teachers, therapy planning meetings between therapists).
Client therapy notes
Client therapy progress notes and demographic information are stored in electronic form on a secure hard drive. All Child in Mind Psychology clients have the right to request a copy of their therapy notes at any time.
Data storage & protection
All electronic files are password protected and securely stored in the company system which comprises encrypted digital storage platforms. All devices and platforms used to store client information are password protected and passwords are updated on a regular basis. Any hard copy activities are uploaded to the digital system and then securely shredded.
Access
Client files will only be accessed by Child in Mind Psychology Management and relevant employees. Parent/s, legal guardians and/or clients over 18 years can access the information contained in their files by contacting Child in Mind Psychology, by emailing, or by calling Kaitlin Sherriff (CIMP Director) on 1800 418 445.
